A follow-up system is a designed sequence, not a burst of activity after a slow week.
Start with the moments that already happen: a new lead, a form submit, a booked call, a no-show, a proposal sent, a purchase, a silent contact. Each moment can have a next step that does not depend on someone remembering it.
The sequence should feel human because it is specific. Use the lead's name, the source, the service they asked about, the time they booked. Personalization is not a flourish. It is how the message proves you were paying attention.
Then decide what happens if they do not reply. Wait. Send a shorter second note. Create a task for a person if the opportunity is high-value. Move the record so the pipeline stays honest. A system that only messages and never updates itself will drift.
The test is simple. If the founder is unavailable for a day, do inquiries still receive a timely, useful response? If the answer is yes, you have a follow-up system. If the answer is no, you have a hope.
